Work-Study FAQ

What are the responsibilities of a Work-Study Employer?

  • Provide appropriate training and supervision
  • Ensure student has an accurate idea of the duties, hours of work and job performance expectations when they are hired
  • Ensure students are paid promptly for hours worked through the Human Resource Services office

If I listed a Work-Study position previously do I need to re-apply?  

YES. Returning employers MUST re-list each year and be assigned a new job order number.

Is my Work-Study proposal approved when I receive a job order number?

NO. Your Work-Study proposal will be assessed by Admissions and Awards in April for the Summer program and August for the Fall-Winter program. The job order number is given to you by the Career Centre when your listing has been processed.

When do I find out if my Work-Study position has been approved?  

Decisions concerning your Work-Study proposal will be forwarded to you by Admissions & Awards in late April for the Summer program and in mid-August for the Fall-Winter program. Any updated information about the program will also be sent out at that time.

How many students may I hire?

You may hire no more than two (2) students per job proposal (NEW - effective Summer 2011)

When can students view and apply to Work-Study positions?


ALL approved Work-Study positions will be listed on the Career Centre On-line for students to view and apply to as of the following dates:

  •  May 2 for Summer 2011 – Application deadline May 31, 2011 (May 13 for Special Applications)
  •  September 1, 2011 for Fall/Winter 2011-12 – Application deadline September 30, 2011 *pending funding. 

 

Is there a guarantee my position will be filled by a Work-Study student?


NO. Students look at the Work-Study job listings and apply to positions of interest.

 

How will I know if a student is eligible to apply to my position?


Students MUST meet the basic eligibility criteria:

  • MUST have applied and qualified for OSAP funding as a resident of Ontario OR have qualified for student financial aid from a province/territory other than Ontario (confirmation required); OR are receiving Band funding from the Aboriginal Student Support Program (confirmation required)
  • Be registered in at least 60% of a full course load for each semester during the academic year in which they wish to apply (40% for students with permanent disabilities)

Deadline

All Work-Study Academic/Career Related Job Proposals MUST be submitted online NO LATER than Friday, May 28, 2010. Late proposals will not be considered.

Important Notice

  1. Work-Study Reimbursement Proposals (clerical positions) will NOT be accepted.
    Only Academic/Career Related Proposals will be accepted.
  2. The Career Centre does not approve your proposal. Your Work-Study Job Proposal
    will be reviewed by the Career Centre and you will receive a Job Order Number via
    email once your proposal has been processed.
  3. The Office of Admissions & Awards is responsible for approving your proposal and will send out Approval Letters as of late August.

All Work-Study Positions MUST:

  1. Have at least one, preferably two, contacts who are University of Toronto Faculty or
    Staff members on the job proposal form. Students cannot be listed as contact persons and may not supervise students hired under the program.
  2. Have a University of Toronto Faculty or Staff member who is responsible in all respects
    for the Work-Study position.
  3. Have positions listed under this program that do not contravene a union agreement. Check with Labour Relations if unsure about participating in the program.
  4. Clearly offer to the student more than just financial benefits by supplementing the student's current field of study with practical experience or by providing duties (non-clerical in nature) useful for exploring future academic programs or career areas.

There is no cost to the participating University of Toronto department for the student's earnings or benefits. 

  • Maximum number of hours per week and rate of pay are set by Admissions and Awards.
  • Work-Study students can work up to and no more than 12 hours/week for a total of
    180 hours
    for the entire Work-Study period (September 7, 2010 to March 4, 2011)
  • Rate of pay is $10.25/hour plus 4% vacation pay (for 2010-11). Salary may be supplemented by the hiring department.

Proposals that will be considered MUST be:

  • Created specifically for this program
  • Flexible in terms of hours of work to accommodate student's academic schedules
  • MUST clearly indicate the academic/career related benefits

Proposals that will NOT be considered are:

  • Volunteer jobs converted to paying Work-Study positions
  • Those jobs essential to the department to the degree that operations would be jeopardized if a student was not hired
  • Primarily clerical jobs i.e. data entry, word processing or filing

After the proposal is submitted

  1. All proposals will be reviewed. Proposals MUST be approved. It is practice of Admissions & Awards to approve more proposals than will be filled so that students are offered a choice.
  2. The approved Academic/Career-related positions do not carry any value. Funding is based on the student's eligibility, not the specific job description. Funding comes from two sources: the Ministry of Education and Training and the University of Toronto.
  3. The approval mailing for Academic/Career-related positions will be sent out in August.
  4. All positions will be advertised to students beginning the day after Labour Day at all three University of Toronto Career Centres.
  5. There are a maximum of 3 positions per job proposal that can be recruited for at one time.

Students MUST meet the basic eligibility criteria:

  1. MUST have qualified for provincial financial assistance from the Ontario Student Assistance Program (OSAP) for the current academic year
  2. Be registered in at least 60% of a full course load for each semester during the academic year in which they wish to apply (40% for students with permanent disabilities).
  3. Students who do not meet these criteria and can demonstrate financial need MUST contact Financial Aid if they are interested in participating in this program. The deadline for students to make a "special application" is TBA.
